How to map Event Form questions to Event record fields

You can map selected Event Form questions to fields in the Event record so submitted answers automatically appear in the Details tab. Mapping is optional and is only needed when you want a form answer to populate an Event record field.

Before you start

Only designated users in your organisation have access to Object Manager. If you need something changed in Object Manager and don't have access, contact the people in your organisation responsible for configuring it.

How to map Event Form questions to Event record fields

  1. Decide which form answers you want to appear as fields in the Event record.
  2. Create those fields in the Field Manager.
  3. Map the relevant questions to the fields.

Note: Each mapped question and its target field must use compatible field types.

Mapping a question to a field gives you:

  • Automatic field population: submitted answers are saved directly into the relevant field on the Event record.
  • Easier investigation: key information appears in the Details tab automatically, so users do not need to copy it from the Original Submission tab.
  • Consistent Event records: form answers can populate the same fields used across Event records, regardless of how the Event was created.

How to map a question to a field

  1. Go to 'Object Manager' > 'Events' > 'Forms'.
  2. Select the Event Form you want to map.
  3. Click the 'Field Mapping' tab at the top.
  4. For each question you want to map, use the dropdown next to it to select the matching Event record field.
  5. Click 'Publish' to apply your changes.

The dropdown only offers fields with compatible data types. If the field you expect is not in the dropdown, check it exists in the Field Manager and uses the right type.

Matching rules

For mapping to work, the question type and the field type must match. For Dropdown questions, the options must also be identical.

For dropdown questions, every option on the form must also exist on the field, with identical spelling and capitalisation. The order does not have to match. The easiest way to keep them identical is to copy the options from the Event Form question and paste them into the field.

Note: File Upload and Signature are available as Event Form question types, but they do not have a matching field type in the Field Manager. This means they cannot be mapped to a field.

Note: Renaming an option on either side does not update existing records. Existing records keep the original value.

What if Event Form answers are not appearing in the Details tab

If form answers are not appearing in the Details tab as expected, check the following:

  • Unmapped answers remain available in the Original Submission tab and can still be used in Analytics.
  • Check the question type matches the field type exactly.
  • For dropdown questions, check every option on the form exists on the field with identical spelling.
  • Check the field has not been deleted from the Field Manager.
  • Check the field is still on the Event record layout. Mapping continues to work if the field is removed from the layout, but the answer is invisible to anyone viewing the record.
