How to map form questions to Event fields

How to link form questions to event record fields so data is automatically saved in the right place (Field Mapping)

The Events module replaces Incidents. If you are still using Incidents, refer to the Incidents section.

Once your form(s) and Event record view are set up, the next step is to map your form questions to the corresponding fields in the Event record. This ensures submitted data flows directly into the Details tab—where it can be viewed, reported on, and analysed.

 

Why mapping matters

Mapping form questions to Event record fields enables:

  • Automatic data capture: Responses from submitted forms are saved directly into the relevant fields on the Event record.

  • Reporting and trend analysis: The analytics dashboard pulls data from these fields automatically every hour to surface trends and insights.

  • Clear, accurate records: Key details are shown in the Details tab—not just stored in the ‘Original Submission’ tab—making it easier to investigate and track events.

By default, submitted form answers only appear in the Original Submission tab. To display key details directly in the Details tab, you need to map form questions to corresponding fields in the Event record.

How to map questions using Field Mapping

  1. Go to the Object Manager, click on Forms and select a form.

  2. Go to the Field Mapping tab at the top.

  3. Go through each question, using the dropdown next to each question to select the matching field in the Event record. Make sure the question and the field are the same data type.

 

Important: Mapping form questions to fields for reporting

To ensure data from your forms appears correctly in reports and dashboards, each form question must be linked to a corresponding field in the Object Manager. For the mapping to work correctly:

 

  • The field type (e.g. dropdown, text, date) must match between the question and the field.

  • For dropdowns, the options must be identical in both the question and the field.

A dropdown question must be mapped to a dropdown field with the same options. A date question must be mapped to a date field. A free-text question should be mapped to a text field.

 

If a question isn’t mapped to a field, or if the values (drop-downs) or field type don’t match, the data won’t be pulled through to the event record and won't be available for reporting.
