How to create and manage Event pipelines
Who this applies to: People who configure Object Manager for their organisation in Vatix. If you need something changed in Object Manager and don't have access, contact the people in your organisation responsible for configuring it
Available on: Vatix Workspace web app
Event Pipelines help you tailor how different types of Events are handled.
Each pipeline breaks the process into stages and can be configured to highlight the fields that matter and provide useful guidance at each stage. This helps people managing Events focus on the right information and understand what to do.
Event Pipelines are configured in Object Manager, where you can create and edit pipelines, manage their stages and field settings, and select the default pipeline
How to access Event Pipelines
- Go to 'Object Manager' in the left navigation bar.
- Select 'Events'.
- Select 'Pipelines'.
You'll see a list of all Event Pipelines in your organisation, including their name, last modified date, and which one is the default (shown with '(Default)' next to its name).
How to create a new Event Pipeline
- Go to 'Object Manager' in the left navigation bar.
- Go to 'Events'.
- Select 'Pipelines'.
- Click 'New' in the top right.
- Enter a descriptive name for the pipeline, for example, 'Accident' or 'Near Miss'.
-
Click 'Create'.
Three default stages are created automatically: 'New', 'In progress', and 'Closed'.
How to edit an Event Pipeline
Open an Event Pipeline to add and rename stages, reorder them, configure relevant and required fields, and add stage guidance.
|
Add a stage |
Click the '+' button in the top right, enter the stage name, then click 'Add' or press Enter. You can add up to seven stages. Each pipeline must have at least two stages, and the final stage must remain last. |
|
Reorder stages |
Hover over the six dots beside a stage and drag it to the required position. The 'Closed stage must remain the final stage and can’t be moved to another position. |
|
Rename a stage |
Select the stage you want to rename, and in the 'Stage Details' section, enter the new name in the 'Stage name' field. |
|
Add stage guidance |
Select the stage, and in the 'Stage Details' section, enter any information that may be useful to people managing the Event in the 'Stage guidance' field. If guidance has been added, it appears on the Event record when the Event is at that stage. |
|
Select relevant fields for a stage |
Select a stage and scroll down to the field list. Select the fields you want to mark as relevant to that pipeline and stage. Relevant fields are shown by default when someone opens an Event at that stage. This helps people managing the Event focus on the information that matters at that point in the process. Selecting a field as relevant doesn’t hide or restrict any other fields. Users can select 'Show all fields' in the Event record to view and complete any Event field at any stage. |
|
Set required fields for a stage |
Select a stage and mark a field as relevant. You can then mark it as required if it must contain a value before the Event can move forward from that stage. Required fields apply only at the stages where they are configured and only when an Event moves forward. If someone moves an Event forward by multiple stages, all required fields across the stages being passed through must contain a value. Required fields don’t prevent an Event from moving back to an earlier stage. On the Event record, required fields are marked with an asterisk (*). |
|
Delete a stage |
Select the stage you want to remove. A stage can only be deleted if it has no Events assigned to it. You can move those Events to another stage first, then delete the stage. You can’t delete the final stage or delete a stage if this would leave the pipeline with fewer than two stages. |
How to publish your changes
Click 'Publish' in the top right to save your changes. Changes won't take effect until you click 'Publish'.
How to set an Event Pipeline as the default
- Go to 'Object Manager' in the left navigation bar.
- Select 'Events'.
- Select 'Pipelines'.
- In the Pipelines list, click the three-dot menu next to the Event Pipeline you want to make the default.
- Select 'Mark as default'.
Only one Event Pipeline can be the default at a time.
How to delete an Event Pipeline
An Event Pipeline can only be deleted when:
- It has no Events assigned. If any Events are still assigned, you'll see this message: "This Event Pipeline cannot be deleted as it is currently assigned to one or more entities. Please reassign the entities first, then try again." Reassign those Events to another Event Pipeline first.
- It is not the default Event Pipeline. Mark another Event Pipeline as the default first.
-
It is not the only Event Pipeline in your organisation.
To delete an Event Pipeline:
- Go to 'Object Manager' in the left navigation bar.
- Select 'Events'.
- Select 'Pipelines'.
- In the Event Pipelines list, find the Event Pipeline you want to delete and click the three-dot menu next to it.
- Select 'Delete'.
- In the confirmation window, review the warning message and type in DELETE to confirm.
