Getting started with Assets

The Assets module gives your organisation a central place to store and manage information about the physical items you need to track, whether those are vehicles, equipment, machinery, medical devices, fire safety equipment or anything else relevant to your operation.

Each Asset has its own record where you can capture relevant details and view everything connected to that item in one place.

What you can see on an Asset record

Opening an Asset record gives you a full view of everything linked to that item. From the Related tab, you can see:

  • Events involving that asset
  • Audits related to that asset, such as equipment inspections
  • Tasks linked to that asset, such as maintenance or repair follow-ups
  • Documents related to that asset, such as operating procedures or maintenance manuals
  • The Site where the asset is located

This means anyone responsible for an asset can open its record and immediately see its inspection history, outstanding tasks and any incidents it has been involved in, without searching across multiple modules.

What you can store on an Asset record

The fields available on an Asset record depend on how your organisation has configured the module using Object Manager. Common examples include the asset name, category, serial number, assigned person, linked site and status.

Because the Assets module supports Object Manager, the module can be configured to hold considerably more detail. Some organisations use asset records to track purchase date, warranty expiry, service intervals, last and next inspection dates, maintenance provider, insurance details, depreciation and compliance certification. The fields you see depend on what your organisation has set up.

Who can access and manage Assets?

Account Owners and Managers can create, edit and delete Assets and configure the module through Object Manager.

Users can see Asset names when submitting Audits and creating Tasks, so they can link those records to the correct item.
