Availability
Web and mobile app
Audit Scheduling lets Managers configure Audits once and the system generates instances automatically for each assignee.
Managers and Account Owners create and manage Schedules, setting the template, assignees, dates, and recurrence. Learn more about it in this article on creating and managing Audit Schedules.
Users complete the Scheduled Audit instances assigned to them. Learn more about it in this article on completing Scheduled Audits.
What Audit Schedules and instances are
A Schedule is the configuration that is set up once. It defines the Audit template, who it is assigned to, when it runs, and how often.
An instance is a single copy of that Audit generated for a specific assignee at a specific time. Each time a Scheduled Audit is due, the system creates a new instance for each assignee. Every assignee completes their own instance independently.
What the Audit Schedule work window is
Each instance has a start date and a due date. Together, these define the window during which the assignee can complete the Audit.
- Before the start date: The instance is visible but not yet available to start. It shows as 'Upcoming'.
- Between the start and due date: The instance is ready to work on. It shows as 'To Do' or 'In Progress'.
- After the due date: If not completed, it shows as 'Overdue'.
What the Audit statuses mean
There are several statuses that a Scheduled Audit can have:
-
Upcoming: start date is in the future. Visible but not yet available to start.
-
To Do: ready to start.
-
In Progress: started but not yet submitted.
-
Done: completed and submitted.
-
Overdue: past the due date and not completed.
-
Won't Do: used when an Audit will not be completed. A reason is required.
