How to create a manual Group and add its members
Applies to user roles: Account Owner
Available on platforms: Vatix Workspace web app
A manual Group is the right choice when the people in it follow no pattern in your data, such as a committee or a working party: you choose the members yourself, and nobody joins or leaves unless you add or remove them. Only Account Owners can create and manage Groups.
To have membership follow people's details instead, see 'How to set up a dynamic Group with membership rules'.
How to create a manual Group
- Click the gear icon in the top right to open 'Settings'.
- Select 'Organisation'.
- Go to 'Groups'.
- Click 'New group'.
- Enter a name. Each Group name must be unique.
- Add a description explaining what the Group is for and where you intend to use it. This is what your colleagues see on the Groups list, so it's worth filling in.
- Select 'Manual' as the membership type, so you choose the members yourself.
- Under 'Members', use 'Add users' to search for each person you want to include.
- Click 'Create group'.
How to add or remove members
- Go to 'Settings' > 'Organisation' > 'Groups' and open the Group.
- On the 'Members' card, click 'Add users'.
- Search for the person and select them. Repeat for anyone else you want to add.
To take someone out, click the red 'X' at the end of their row. They are removed immediately, with no confirmation step, and a message appears offering 'Undo' if you did it by mistake. Once that message goes, add them back with 'Add users'.
Changes take effect straight away. Anyone you add picks up what the Group grants, and anyone you remove loses the Group's contribution. The exact effect depends on where the Group is used, which is covered in 'Where you can use a Group'.
Finding a Group and editing its name and description work the same way for manual and dynamic Groups, and are covered in 'How to find a Group and edit its details'. Taking a Group out of use is covered in 'How to deactivate and reactivate a Group'.
