How to deactivate and reactivate a Group

Deactivate a Group when you no longer need it, for example when a working party finishes or a site closes. Nothing is deleted, so the Group and its history are still there if you need to look back or bring it into use again.
Deactivating works the same way whether a Group's members are chosen by hand or set by a rule, and only Account Owners can do it.
How to deactivate a Group
- Open the Group.
- Click the three dots in the top right and select 'Deactivate group'.
- Read what the dialog tells you about where the Group is currently used. Deactivating detaches it from all of it.
- Type DEACTIVATE in the confirmation field.
- Click 'Deactivate group'.
Important: Deactivating removes the access and assignments the Group was giving people, so treat it like removing every member at once. Its members and history are kept, and acknowledgement requests you have already sent are unaffected. Reactivating the Group brings it back, but doesn't restore it to the places it was used. You need to add it back to those yourself.
How to reactivate a Group
Inactive Groups are hidden from the Groups list by default, so change the status filter to find them.
- Go to 'Settings' > 'Organisation' > 'Groups'.
- Click 'Filters' and change the 'Status' filter value from 'Active' to 'Inactive'. Removing the filter altogether shows both.
- Open the Group. A banner at the top tells you the Group is inactive.
- Click 'Reactivate group' in that banner.
- Check the members are still the ones you want, then add the Group back wherever you need it.
Because reactivating doesn't restore the Group to the Documents, requests, rules and schedules it was used in, step 5 is the one that matters. Work through 'Where you can use a Group' and put it back everywhere it belongs.
