How to manage folders in Documents

How to create a new folder in Documents
- Go to 'Documents' in the left sidebar.
- Click the '+' icon next to the 'Documents' header and select 'New Folder'. Alternatively, hover over an existing folder, click the three-dot menu, and select 'Create Subfolder'.
- In the modal, enter a folder name.
- Select the parent folder.
- Click 'Create'.
The folder appears in the sidebar tree. If you created a subfolder, the parent folder expands to show it.
How to move a Document between folders
- Go to 'Documents' in the left sidebar.
- Hover over the document you want to move and click the three-dot menu.
- Select 'Move to Folder'.
- In the folder picker, select the destination folder.
- Click 'Move'.
The Document will move to the selected folder immediately.
How to change the order of folders and Documents
You can arrange the sidebar in whatever order suits how your organisation works, for example putting your most-used policies at the top rather than leaving everything in the order it was created.
Folders and Documents both work the same way.
- Go to 'Documents' in the left sidebar.
- Hover over the folder or Document you want to move. A drag handle appears to the left of its name.
- Click and hold the drag handle, then drag the item up or down to its new position.
- Release to drop it in place.
The new order saves automatically, and it applies to everyone in your organisation. Whoever opens Documents next sees the sidebar in the order you set, so there are no personal arrangements to keep in step.
Note: Only Account Owners and Managers can reorder the sidebar. Users see the same order, without the drag handles.
What dragging does and doesn't do
Dragging changes an item's position among its neighbours. It doesn't move it somewhere else in the tree:
- Folders move up and down among the folders at the same level.
- Documents move up and down inside the folder they're already in.
If you drag an item onto a row in a different folder, nothing moves, and a message points you to the option that does move things. To move a Document into another folder, use 'Move to Folder', and to move a folder, use 'Edit folder'.
Two other things worth knowing:
- Anything you add later goes to the bottom of the list, rather than being slotted in alphabetically, so the order you set stays as you left it.
- While you're searching in the sidebar, dragging is switched off. Clear the search box to reorder again.
How to delete a folder in Documents
A folder must be empty before it can be deleted. Once it's empty:
- Go to 'Documents' in the left sidebar.
- Hover over the folder you want to delete and click the three-dot menu.
- Select 'Delete'.
Note: If the folder contains Documents, you will see the message to move or delete the Documents first.
If the folder is empty, a confirmation modal appears, where you can confirm to delete the folder.
