How to set up public Event Form links and QR codes

 

Who this applies to: People who configure Object Manager for their organisation in Vatix

Public forms let anyone submit an Event without a Vatix licence. Reporters can open the form by scanning a QR code or following a web link.

This is the standard way to enable frontline reporting in places such as store floors, branches, or sites where not everyone has a Vatix account.

Before you start

  • Only designated users in your organisation have access to Object Manager. If you need something changed in Object Manager and don't have access, contact the people in your organisation responsible for configuring it.
  • The Event Form you want to share must be published.

How to make the form public

  1. Go to 'Object Manager' in the left sidebar.
  2. Select 'Events'.
  3. Select 'Forms'.
  4. Open the form you want to share.
  5. Select the 'Settings' tab.
  6. Under 'General Settings', set 'Audience' to 'Public' for anonymous submitters only, or 'Public & User' for both anonymous and logged-in users.
  7. Click 'Publish' at the top right.

How to configure what info to collect from anonymous reporters

  1. Open the 'Submission type' dropdown under 'Public Submissions' in the 'Settings' tab.
  2. Choose 'Anonymous' to collect no reporter details, or ask for the reporter's full name, email address, or phone number.
  3. For each detail you collect, choose whether it is required or optional.
  4. Click 'Publish' to save.

Note: If you enable the 'Confirmation Email Notification' toggle, the form must include an email question and the reporter must fill it in for them to receive a confirmation.

How to copy the public form URL

  1. Stay on the 'Settings' tab.
  2. Under 'Public Submissions', find the 'Form URL' (it follows this format: https://onvatix.com/publicForm/[uuid]/).
  3. Click the copy icon to the right of the URL.

How to generate the QR code

  1. Stay on the 'Settings' tab. Under 'Public Submissions', next to 'Form URL', click 'Show QR code'.
  2. In the 'QR code' window, click 'Print' to print the QR code directly, or click 'Download' to save it as a file.
  3. If you select 'Download', choose a format: 'PNG image' (best for screens and email) or 'SVG vector' (best for printing posters at any size).

Tip: Generate one QR code per form. On the printed poster, make it clear which form the QR code opens, so reporters know what they are submitting before they scan it.
