How to view a Group's history
Applies to user roles: Account Owner
Available on platforms: Vatix Workspace web app
When an auditor or an investigation asks who was in a Group back in March, the Group's history answers it. This matters most where the Group drives something you have to evidence, such as who was asked to acknowledge a policy or who was responsible for an inspection.
How to view the history
- Go to 'Settings' > 'Organisation' > 'Groups' and open the Group.
- Select the 'History' tab.
Entries are grouped by date. Where several people joined or left at the same time, they are rolled into one entry with a 'View all' link.
What the history records
For membership, every person who joined or left, when, and why:
- Added or removed by an Account Owner.
- Joined or left automatically because their details changed and a membership rule now matches them, or no longer does.
- Joined or left automatically because the membership rule itself was edited.
For the Group itself:
- Created, deactivated and reactivated.
- Renamed, and description changes.
- Membership rule changes, including the rule as it was set.
- Changes between manual and dynamic membership.
Note: The history is a record, not a list of settings you can change. Nothing on this tab can be edited or removed, which is what makes it usable as evidence.
What the history does not show
The history covers the Group and its members. It doesn't yet list the Documents, requests, rules and schedules the Group has been used in, so it won't tell you when a Group was added to a particular schedule.
Deactivating a user's account is not recorded here either. Their Group memberships are kept when the account is deactivated, so nothing about the Group changes for the history to record.
Note: History is recorded from the point the 'History' tab was released. A Group that existed and changed before then has an incomplete early trail, and those earlier changes cannot be recovered.
