How to view and edit a user's details

Applies to user roles: Account Owner

Each person on your account has a user record. It holds how to reach them, where they sit in your organisation, and what they can use. Filling it in turns your user list into a record of your organisation, so you can see who sits where and who reports to whom.

How to open someone's record

  1. Click the gear icon in the top right to open Settings.
  2. Select 'Organisation'.
  3. Go to 'Users' and select the person you want.

What is on a user record

The record opens on the 'User Record' tab, which holds the person's details. 'Product Access' holds their role and the products they are licensed for. You may see other tabs, such as 'Medical Information', depending on what your organisation uses.

The details themselves sit in cards, each with its own 'Edit' link.

Personal information

Who the person is and how to reach them: name, email address, phone number, date of birth, employee ID and memorable word.

Three more entries sit on this card for reference: 'Account' is your organisation, 'Created' is the date the account was made, and 'Teams' lists the teams the person belongs to.

Anything not filled in shows as 'N/A'.

Where the person sits in your organisation.

Anything not filled in shows as 'Not set'.

Custom fields

Five fields your organisation names itself, for anything Vatix doesn't already hold. They show the names your organisation has given them, so what you see here depends on how they have been set up. See 'How to manage user fields'.

How to change someone's details

  1. Open the person's record.
  2. Click 'Edit' on the card holding the detail you want to change.
  3. Make your changes, then save.

Department, Employment type and Region are dropdowns, so you pick from the values your organisation has set up rather than typing your own. If the value you need isn't there, add it on the 'User Fields' page first.

Who can see and change these details

  • Opening someone else's record needs the Account Owner role.
  • 'Region' and the five custom fields are only there for organisations with Object Manager. Without it, they don't appear on anyone's record at all.
  • 'Department' and 'Employment type' are there for every organisation, whether or not you have Object Manager, because both arrive with a set of values ready to use.
  • 'Site' draws on your Sites records, so it is only useful to organisations using Sites.

Filling in details for lots of people at once
