How to add and delete comments, mentions, and attachments on an Event

Applies to user roles: Account Owner, Manager, User

Available on platforms: Vatix Workspace web app, Protector Mobile app

There are two places where comments and attachments can be added to an Event:

  • The Activity Feed: Available to Account Owners and Managers.

  • The 'Additional Comments' section: Available to anyone who can access the Event. Additional comments can be added while submitting the Event and after submission from the 'Original Submission' tab.

How to add comments and attachments to the Activity Feed

In the Vatix Workspace web app:

  1. Go to 'Events' in the left sidebar.
  2. Open the Event record.
  3. Click the text input at the bottom of the Activity Feed on the right side of the record.
  4. Add your comment depending on what you need:
    1. Type a text comment.
    2. Use '@' followed by a name to notify a specific colleague.
    3. Click the paperclip icon to attach a file or photo.
  5. Click the arrow icon to post.
 

 

In the Protector Mobile app:

  1. Open the Protector Mobile app.
  2. Tap 'Events' in the bottom navigation menu.
  3. Tap the Event to open it.
  4. Tap 'Activity Feed' at the bottom of the screen (the upward arrow link).
  5. Add your comment depending on what you need:
    1. Type a text comment.
    2. Use '@' followed by a name to notify a specific colleague.
    3. Tap the paperclip icon to attach a file or photo.
  6. Tap the arrow icon to post.

How to add additional comments to the Event Original Submission tab

The 'Additional Comments' section allows Account Owners and Managers to communicate with the reporter after an Event is submitted. Because the reporter can see this section, use it when you need them to see your message, for example, to tag them and ask for clarification, request a missing attachment, or follow up on incomplete answers.

Use the Activity Feed instead for any messages that shouldn't be visible to the reporter.

Additional comments can be added before an Event is submitted on the 'Review and Submit' screen. After submission, these comments appear in the 'Additional Comments' section at the bottom of the 'Original Submission' tab. Account Owners and Managers can also add further comments and attachments to this section.

To add an addition comment after the submission:

In the Vatix Workspace web app:

  1. Go to 'Events' in the left sidebar.
  2. Open the Event record.
  3. Select the 'Original Submission' tab.
  4. Scroll to the 'Additional Comments' section at the bottom.
  5. Add your comment depending on what you need:
    1. Type a text comment.
    2. Use '@' followed by a name to notify a specific colleague.
    3. Click the paperclip icon to attach a file or photo.
  6. Click the arrow icon to post.

In the Protector Mobile app:

  1. Open the Protector Mobile app.
  2. Tap 'Events' in the bottom navigation menu.
  3. Tap the Event to open it.
  4. Tap the upward arrow at the bottom of the screen to expand the Event details.
  5. Scroll to the 'Additional Comments' section at the bottom of the 'Original Submission' tab.
  6. Add your comment depending on what you need:
    1. Type a text comment.
    2. Use '@' followed by a name to notify a specific colleague.
    3. Tap the paperclip icon to attach a file or photo.
  7. Tap the send icon (arrow) to post.

File size limits

When adding attachments to an Event, the following limits apply:

  • Each file can be up to 10 MB.
  • You can add up to 10 files per submission.
  • The total size of all files can be up to 50 MB per submission.

This applies to files added through an Event Form, the Activity Feed, or the Attachments tab, including images, PDFs, documents, and videos.

If a file is larger than 10 MB, you'll see the message 'File exceeds the maximum file size allowed. It will not be uploaded', and the file won't be attached to the event.

Tip: For larger files such as long videos, compress the file first or share it as a link instead.

How to delete an Event comment or attachment

Note: Deleting comments and attachments is only available in the Vatix Workspace web app.

  1. Go to 'Events' in the left sidebar.
  2. Open the Event record.
  3. Go to the Activity Feed or the 'Additional Comments' section at the bottom of the 'Original Submission' tab, depending on where the item was added.
  4. Hover over the comment or attachment.
  5. Click the three-dot menu and select 'Delete'.

Note: You can only delete your own comments. Account Owners with access to the Event can also delete attachments uploaded by other users, but can't delete other users' comments.
