How to change a Group's membership type
Applies to user roles: Account Owner
Available on platforms: Vatix Workspace web app
A Group you built by hand can be handed over to a rule once you realise the data already describes it, and a rule-driven Group can be frozen into a fixed list when the rule stops fitting. Switching changes who is in the Group, so Vatix shows you exactly who joins and who leaves before you commit.
What each switch does
| Switching | What happens to the members |
|---|---|
| Manual to dynamic | The rule takes over. Anyone you added by hand who doesn't match it is removed, and won't come back unless they start matching. |
| Dynamic to manual | The current members are frozen as a fixed list, and the rule is removed. Membership stops updating on its own. |
How to change a manual Group to dynamic
- Go to 'Settings' > 'Organisation' > 'Groups' and open the Group.
- Click the three dots in the top right and select 'Change to dynamic'.
- Build the membership rule, in the same way as for any dynamic Group. See 'How to set up a dynamic Group with membership rules'.
- Look at 'Who will match'. It tells you how many people will be members, with a 'Joining' tab for the people the rule adds and a 'Leaving' tab for the current members it drops.
- Click 'Review change'.
- Check the summary, which names everyone who will be removed, then click 'Change to dynamic'.
How to change a dynamic Group to manual
- Open the Group, click the three dots in the top right and select 'Change to manual'.
- Read the confirmation, which tells you what the switch does to this particular Group.
- Click 'Change to manual'.
The members the Group had at that moment stay in it, and you maintain the list by hand from then on with 'Add users'.
Important: Anyone removed by the switch loses whatever the Group was giving them, exactly as if you had taken them out by hand. If the Group grants Document access or is assigned Scheduled Audits, use the 'Leaving' tab to see who that affects before you confirm rather than after.
The switch is recorded on the Group's 'History' tab, along with every member it added or removed, so you can see exactly what the change did. See 'How to view a Group's history'.
