How to edit and complete a Task

This article explains how to edit a Task, link it to other records, update its status, and mark it as complete.

Applies to user roles: Account Owner, Manager, User

Available on platforms: Vatix Workspace web app, Protector Mobile app

How to edit a Task

You can edit details such as the Task name, description, assignee, due date, status, and linked records.

Note: The exact fields available depend on your role, permissions, and module access.

💻 In the Vatix Workspace web app:

  1. Go to 'Actions' in the left sidebar.
  2. Open the 'Tasks' tab.
  3. Open the Task you want to edit.
  4. Click 'Edit' in the 'Task Details' section.
  5. Update the Task details as needed.
  6. Click 'Save'.

📱In the Protector Mobile app:

  1. Tap 'Actions' in the bottom menu. It's shown as a blue square icon with a white checkmark inside it.
  2. Open the 'Tasks' tab.
  3. Open the Task you need to edit.
  4. Tap the field you want to update, such as the description, assignee, due date, or a linked record field.
  5. Make the required changes.

How to link a Task to another record

Tasks can be linked to other records, such as Events, Audits, Documents, Sites, Assets, or Contacts. You can link a Task from the Task details page, or or link a Task from another record's 'Related' tab.

Note: The options available depend on your role, permissions, and module access.

💻 In the Vatix Workspace web app:

  1. Open the Task.
  2. Click 'Edit' in the 'Task Details' section.
  3. Select the relevant linked record field, such as 'Event', 'Document', 'Form', 'Site', 'Asset', or 'Contact'.
  4. Select the record you want to link the Task to.
  5. Click 'Save'.

📱In the Protector Mobile app:

  1. Open the Task.
  2. Tap the relevant linked record field, such as 'Event', 'Form', 'Site', 'Asset', 'Contact', or 'Document'.
  3. Search for the record if needed.
  4. Select the record you want to link.

The Task will be updated, and will be visible in the record's 'Related' tab.

How to update a Task's status

Available statuses include 'To do', 'In progress', 'Completed', or 'On hold'.

💻 In the Vatix Workspace web app:

  1. Go to 'Actions' in the left sidebar.
  2. In the 'Tasks' tab, open the relevant Task.
  3. Click 'Edit' in the 'Task Details' section.
  4. Click the 'Status' field.
  5. Select the new status.
  6. Click 'Save'.

📱 In the Protector Mobile app:

  1. Tap 'Actions' in the bottom menu. It is shown as a blue square icon with a white checkmark inside it.
  2. Open the Task.
  3. Tap the status field at the top of the screen.
  4. Select the new status.

The Task status update will appear in the Activity Feed.

How to mark a Task as complete

You can mark a Task as complete by changing its status to 'Completed'. In the Vatix Workspace web app, you can also see a 'Mark as Complete' button, which provides a quicker way to complete the Task.

💻 In the Vatix Workspace web app:

  1. Go to 'Actions' in the left sidebar.
  2. In the 'Tasks' tab, open the relevant Task.
  3. Click 'Mark as Complete' at the top of the page.

The Task status will change to 'Completed', and the change will appear in the Activity Feed.
