How to find a Group and edit its details
Applies to user roles: Account Owner
Available on platforms: Vatix Workspace web app
Once you have a few Groups, the practical questions are which Group was which, who is in it, and whether its name still describes it. All three work the same way for manual and dynamic Groups, and only Account Owners can carry them out. To change who is in a Group, see 'How to create a manual Group and add its members' or 'How to set up a dynamic Group with membership rules'.
How to find a Group in the Groups list
Go to 'Settings' > 'Organisation' > 'Groups'. The list shows each Group's name, status, description, membership type and its number of members.
Search the list by Group name, or click 'Filters' to narrow it down. Each filter is a row you build yourself: pick a column, an operator, and a value, and add as many rows as you need. You can filter on name, status, description, membership type or members.
Filtering on members answers the question the other way round: which Groups a person is in.
Note: The list arrives with one filter already applied, 'Status is Active', which is why inactive Groups aren't shown until you change it.
How to check whether someone is in a Group
Once a Group has ten or more members, the members list on the Group's page has its own search box. Search on a name to check whether that person is in the Group.
You can also see someone's Groups from their user record. Go to 'Settings' > 'Organisation' > 'Users', open the person, and select the 'Groups' tab. Managers and Users see this same tab on their own profile only.
How to edit a Group's name or description
- Open the Group and click 'Edit' on the 'Details' card.
- Change the name or description.
- Click 'Save changes'.
Renaming a Group doesn't disturb anything that uses it. Everywhere the Group is used follows the rename.
Note: If you try to leave the page with unsaved changes, Vatix asks whether to discard them. Select 'No, keep editing' to go back to the form.
To take a Group out of use without deleting it, see 'How to deactivate and reactivate a Group'.
